Fox London Health and Safety Policy

Fox London is committed to providing a safe and healthy working environment for all employees, clients, visitors and contractors. As a professional cleaning company, we recognise that our activities can involve particular risks, including the use of chemicals, equipment and work on client premises. This policy sets out our approach to identifying, managing and reducing health and safety risks in all areas of our operations.

Policy Objectives

The main objectives of this Health and Safety Policy are to prevent injury and ill health, comply with applicable health and safety requirements, promote a positive safety culture, and continually improve our health and safety performance. Health and safety is an integral part of how we plan, deliver and review our cleaning services.

Management Responsibilities

Senior management at Fox London holds overall responsibility for health and safety. This includes setting clear standards, providing adequate resources, ensuring that responsibilities are defined, and reviewing performance on a regular basis. Management will lead by example and ensure that health and safety considerations are incorporated into all business decisions, including staff deployment, equipment selection and working methods.

Employee Responsibilities

All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. Employees must follow safety instructions, use equipment correctly, wear any required personal protective equipment, and report hazards, near misses and incidents without delay. Cooperation and open communication are essential to maintaining a safe working environment on all client sites.

Risk Assessment and Safe Working Practices

Fox London carries out risk assessments for its cleaning activities and workplaces. These assessments identify potential hazards, evaluate the level of risk and determine suitable control measures. Risk assessments are reviewed periodically and whenever there are significant changes to work processes, equipment or locations.

Based on these assessments, we develop and implement safe working practices. These include clear procedures for general cleaning, deep cleaning, window cleaning and any other specialist services we provide. Staff are briefed on these procedures and expected to follow them at all times.

Chemical and Equipment Safety

The safe use, storage and handling of cleaning chemicals is a core part of our health and safety approach. We only use products that are suitable for professional use and supported by safety information. Staff receive training on reading and understanding safety data, correct dilution and application, appropriate ventilation, and safe disposal practices.

Cleaning equipment such as vacuum cleaners, floor machines, access equipment and tools is selected with safety in mind. All equipment is maintained in good working order, inspected regularly and taken out of service immediately if any defect that could affect safety is identified. Employees are trained in the correct use of equipment and must not attempt to repair items unless they are authorised and competent to do so.

Use of Personal Protective Equipment

Where risks cannot be eliminated or adequately controlled by other means, Fox London provides suitable personal protective equipment. Depending on the task, this may include gloves, eye protection, masks, protective footwear and other items. Employees are required to use the protective equipment provided, keep it in good condition and report any loss or damage promptly so that replacements can be arranged.

Working at Client Premises

Our work is often carried out on client premises, sometimes outside normal business hours. We recognise the importance of integrating our health and safety practices with client site rules. Before work begins, we will familiarise ourselves with any relevant site instructions and emergency arrangements provided by the client.

We take particular care to minimise risks to client staff, visitors and the general public. This includes using appropriate warning signs, securing work areas where necessary, controlling trailing cables and other trip hazards, and avoiding blocking fire exits or access routes. Where work may cause noise, odours or temporary disruption, we plan it with consideration for the people using the premises.

Training, Information and Supervision

Fox London provides all employees with appropriate health and safety training for their roles. This includes induction training for new starters, task-specific instruction, refreshers at reasonable intervals, and additional training when new procedures, equipment or substances are introduced. Supervisors monitor working practices and provide guidance and support to ensure that standards are maintained.

Information on health and safety is communicated in a clear and accessible way. Employees are encouraged to raise any questions or concerns with their manager so that issues can be addressed quickly.

Accident, Incident and Near Miss Reporting

All accidents, incidents and near misses that occur during Fox London activities must be reported as soon as possible. We investigate these events to understand what happened, identify any underlying causes and decide on appropriate measures to prevent recurrence. Records are kept to help us monitor trends and evaluate the effectiveness of our control measures.

Where required, certain incidents will also be reported to the relevant authorities in line with applicable health and safety requirements. We cooperate fully with any external investigations and take prompt action on any recommendations.

Wellbeing and Occupational Health

As a cleaning company, we recognise that some tasks can be physically demanding. Fox London seeks to reduce the risk of musculoskeletal injuries and other health issues by providing guidance on safe manual handling, appropriate tools and equipment, and sensible work planning. We encourage staff to report any health problems that may be affected by their work so that reasonable adjustments can be considered.

Monitoring, Review and Continuous Improvement

Fox London monitors health and safety performance through routine checks, supervision, incident reporting and feedback from staff and clients. This policy and associated procedures are reviewed on a regular basis, and at least annually, to ensure they remain suitable, effective and aligned with current best practice.

Suggestions for improving health and safety are welcomed from all employees. Continuous improvement in health and safety is a shared responsibility and a key element of providing reliable, professional cleaning services.

Policy Communication and Availability

This Health and Safety Policy is communicated to all employees and made available to clients and other interested parties on request. It reflects the commitment of Fox London to safeguard people, property and the environment in every aspect of our cleaning operations.
